Rota Coordinators

As a Rota Coordinator you’re a key part of The Food Chain picture. You’ll be planning the volunteer schedule for each Sunday shift, making sure each kitchen has the right number of kitchen helpers and delivery volunteers.

How does this role help our Service Users?

You’ll be making sure the right people are in our kitchens and on the road at the right time, helping to provide tasty and nutritious meals to men, women and children who are living with HIV.

What does the role involve?

You’ll be responsible for managing one of our kitchen rotas. You’ll maintain contact with your group of volunteers, matching them to spaces in the schedule to make sure we have always enough people on each Sunday shift.

You may need to offer different levels of support and communication to different volunteers. New volunteers may have questions about the various roles and the work of the organisations, and you should be prepared to help answer these and assist the volunteers.

How often do I need to volunteer?

Rota Coordinators work flexible hours from home and need access to the internet and a phone.

How much time do I need to give?

Time varies, but normally between 4 and 6 hours per week.

What training and support will I get?

You will be provided with training designed specifically for the role. All phone expenses incurred as part of the role can be reimbursed.All Rota Coordinators are supported in their role by the Volunteer Administrator.

How can I be a really good Rota Coordinator?

You will need to be patient, persistent and well-organised. People skills are a must! The role is very much a problem solving role.

Eating Positively Rota Coordinators

How does this role help our Service Users?

A volunteer is needed to ensure that we have sufficient volunteers on rota for each Eating Positively session. The Rota Coordinator is responsible for both Wednesday and Saturday sessions and will act as the main contact for volunteers participating in this service.

What does the role involve?

The role involves maintaining contact with those volunteers, fitting them into the rota so that there are sufficient numbers for the session, confirming volunteers already on rota in advance of the sessions and making sure they are booking in for shifts on a regular basis.

How often do I need to volunteer?

Rota co-ordinators work flexible hours from home and need access to the internet.

How much time do I need to give?

Up to one hour a week.

What training and support will I get?

We provide training specfic to the role. All rota co-ordinators are supported in their role by a permanent member of staff, the Volunteer Administrator. All phone expenses incurred as part of the role can be reimbursed.

How can I be a really good Eating Positively Rota Coordinator?

You need to be reliable and well-organised, and have good inter-personal and communication skills.

Supervisors

As a Supervisor, you’re a vital link between The Food Chain office and the kitchen volunteers, the kitchen team and the delivery teams, The Food Chain and our hosts (who lend us their kitchens).

You will be organised, reliable and calm under pressure. You’ll help to pull it all together to ensure our meals service happens.

How does this role help our Service Users?

By organising the routes for our Drivers and Navigators – and being the key link between the volunteers and staff - you’re helping to provide tasty and nutritious meals to men, women and children who are living with HIV.

What does the role involve?

You’ll ensure the smooth running of our Sunday meal service. Your role will include:

• working with the Lead Cook to make sure food is produced on time and to service user requirements
• co-ordinating the packaging and delivery of our meals, making sure our Drivers and Navigators know which
food to deliver to which Service Users
• completing all the necessary paperwork and passing on any important messages onto the office in time for
next week’s service
• making sure that the kitchen volunteers leave the kitchen clean and tidy and leaving the premises secure.

How often do I need to volunteer?

Ideally you’ll commit to one Sunday every six weeks.

How much time do I need to give?

Your Sunday Shift starts at 8:30am and you should be finished by 3pm.

What training and support will I get?

We’ll help to support and develop you in your role as a Supervisor in various ways, you can attend training courses on food hygiene, health & safety, and HIV awareness. We also provide Supervisor training tailored to the role.

How can I be a really good Supervisor?

Attributes: reliable, organised, good planner, calm under pressure, good with paperwork.

Eating Positively Supervisors

This role is completely front of house with activities such as general introduction, serving teas & coffees, talking to the Service Users, answering questions, helping with questionnaire completion.

How does this role help our Service Users?

Volunteers are needed to act, in a supervisory role, as a host for Eating Positively Sessions. As an Eating Positively host you will be responsible for co-ordinating the delivery of sessions so that Service Users have an enjoyable and informative experience.

What does the role involve?

Responsibilities and tasks will include:

• Buying drinks for Service Users (including tea/coffee/milk and juice) as necessary on the way to the venue;
• Checking and arranging the room set up, including the layout of tables and chairs;
• Reading and understanding the risk assessment of the venue, including familiarising yourself with the location
of fire exits, toilets and hand wash basins
• Welcoming Service Users, signing them in (ensuring all sections of the sign-in form are completed), giving out
name stickers and assisting Service Users with questionnaires.

Once the session begins, responsibilities and tasks will include:

• Introducing the session and its objectives, as well as the staff and volunteers. Welcoming Service Users as a
group and explaining key health & safety messages and the location of fire exits, toilets and hand wash basins
• Outlining the role of The Food Chain as a charity.
• Handing over to the public health nutritionist for the next part of the session.
• During the course of the evening acting as a link between front of house and the kitchen to ensure the
session runs to time, including the timing of the cookery demonstration and the meal, and the timing of the end
of the session.
• Handing out post-session questionnaires and assisting with their completion.
• Informing service users of future session details, seeing Service Users out and helping clean and clear up the
venue.
• Locking up.

How often do I need to volunteer?

Approximately one Wednesday evening every four weeks.

How much time do I need to give?

Classes run from 5.30pm - 9pm.

What training and support will I get?

You will receive training specifically for the role, including the opportunity to "shadow" an existing Supervisor. We also offer health & safety and HIV awareness training. All travel expenses are covered up to the cost of a one-day travelcard.

How can I be a really good Eating Positively Supervisor?

You need to be reliable, well-organised, and be able to organise paperwork. Good inter-personal skills are a must.
